How to close out a language student's package when they stop classes
How to close out the package of a language student who decided to stop, without losing track of open installments, scheduled classes and their history.
Every language teacher goes through this: a student says they are stopping classes halfway through their package. It could be a trip, a new job, a tight budget or just a break.
The hard part is almost never the conversation. It is closing out the student's package properly, without leaving a ghost installment in the spreadsheet, a class still on the calendar and a forgotten charge next month.
Why closing out a class package is so much work
When a student buys a package, it does not become a single line. It turns into several things scattered around.
There is the agreed price, the installments due month by month, the recurring classes already booked on the calendar and the history of what they have studied so far.
When it is time to close it out, each of these pieces needs to be handled. If one is left behind, the problem shows up weeks later.
The most common mistakes when a student stops classes:
- Next month's installment still shows up as "receivable" and you bill someone who already left.
- The recurring class stays on the calendar and that slot stays blocked for other students.
- You forget to formally tell the student that Thursday's class was cancelled.
- The student's history gets lost, and if they come back in six months you start from scratch.
How most teachers handle it today
The most common path is manual. You open the payments spreadsheet, strike through the upcoming installments or paint the row gray.
Then you go to Google Calendar and delete that student's recurring classes one by one. Finally you send a WhatsApp message confirming everything is closed.
It works while you have few students. The problem is that these are three tools that do not talk to each other:
- Spreadsheet: it does not know the calendar changed. A cancelled installment and a paid one look the same unless you keep a very disciplined color system.
- Google Calendar: it does not know the package ended. The recurrence keeps going until the date you set long ago.
- WhatsApp: it records the conversation, but it does not become a record of anything. Three months from now nobody remembers when the package was closed.
If you teach on Google Meet or Zoom, there is a fourth place to clean up: the fixed class link the student still has.
What good package control needs to do
Closing out a language student's package should be one action, not a cleanup across several screens.
A good system for this needs a few things:
- Separate what was already paid from what was still pending. When you close it out, only what was open stops being billed. What came in stays on record.
- Show the status of each installment clearly: pending, paid, overdue or cancelled. No relying on cell colors.
- Notify the student when a scheduled class is cancelled, without you having to write a message every time.
- Keep the student's history after the package ends, so you can pick up where you left off if they come back.
Notice that none of this involves charging the student automatically. The point here is control: knowing, at any moment, who is active, who left and how much is still to be received.
How to close out a student's package in Noladi
In Noladi, a student's package is a subscription with a price, a period and automatically generated installments. When they decide to stop, you cancel the subscription and the system marks as cancelled only the installments that were still pending. The ones already received stay in the history.
On the receivables screen, you filter by status and confirm in seconds that nothing is left open for that student. If you prefer, you can cancel a specific installment instead of the whole subscription.
On the schedule, you cancel the classes that were still booked and the student gets an email letting them know. And their profile stays there, with the history of completed classes, topics covered and vocabulary progress, ready for when they want to come back.
